MEMBERSHIP POLICIES

Definition of Terms: “Recurring” Memberships are members who pay automatically by credit card or checking account. “Prepaid” Memberships are members who paid in full up front for a 30 day period (1 month), multiple months can be purchased at once.

General Policies

  • The member month for all memberships is the 1st – 30th.
  • Recurring accounts are billed on the 1st of every month.
  • All requests to change, freeze or cancel memberships must be submitted prior to the 1st of the month for which you are requesting.
  • Any request received on the 1st or after will be processed for the next billing cycle.
  • Recurring accounts will continue indefinitely until a request to cancel is submitted.
  • Membership rates are in no way related to your actual facility usage.
  • Some changes require additional processing and membership fees which must be paid in full in advance.

Accepted Forms of Notice

  • Sportrock does NOT accept in person, phone or faxed requests.
  • All requests must be submitted prior to the 1st of the month for which you are requesting.  Late requests are never accepted for any reason.
  • Requests can be submitted via email to [email protected]
  • Requests can also be submitted via online forms by using the Member Request Forms button above.
  • ALL requests will be confirmed via email within 72 hours.  If you do not receive a confirmation, your request has not been processed.  Please resubmit your request.

Freeze Policy

Recurring:

  • Requests must be submitted prior to the 1st of the month for which you are requesting by using the accepted forms of notice.
  • Only full months (1st – 30th) can be frozen.
  • A $5 freeze fee will be charged each month the account is frozen in lieu of the normal monthly rate.
  • Initial month of membership cannot be frozen.
  • There is no limit to the number of months recurring members can freeze.
  • Frozen months do not need to be consecutive.
  • The membership and normal monthly billing will automatically reactivate when the freeze period ends.
  • Freezes may be applied for any reason.

Prepaid:

  • Initial month of membership cannot be frozen.
  • Only members who purchase 2+ months at once can utilize the freeze option.
  • Requests must be submitted prior to the 1st of the month for which you are requesting by using the accepted forms of notice.
  • Only full months (1st – 30th) can be frozen, regardless of your purchase date.
  • There is no freeze fee charged.
  • A maximum of 3 months per contract period can be frozen regardless of how many months have been purchased.
  • Frozen months do not need to be consecutive.
  • The membership will automatically reactivate after the freeze period ends.  The contract end date will extend one month per each month frozen.
  • Freezes may be applied for any reason.

Cancellation Policy

Recurring:

  • Recurring accounts do NOT cancel automatically.
  • Requests to cancel must be submitted prior to the 1st of the month for which you are requesting by using the accepted forms of notice.
  • Requests must include your name, DOB, reason why you are canceling and which month you are requesting for.
  • Any request received on or after the 1st of the month will be processed at the next billing cycle.
  • Any overdue balance must be paid prior to cancellation.
  • Accounts will be cancelled at end of business on the last day of the billing cycle (30th of the month)

Prepaid:

  • Prepaid accounts terminate automatically at the end of the purchased time frame.
  • Accounts are nonrefundable for any reason.
  • Early cancellation requests are not applicable.

Adding/Removing a Member

  • Family memberships are limited to direct family members only (spouses, children and sibling) living at the same address.
  • Documentation verifying the above may be required (marriage license, driver’s license, etc).
  • Requests to add or remove a member must be submitted using the accepted forms of notice.
  • A corresponding increase or decrease in monthly dues will be made accordingly and discussed in the confirmation response prior to charging your account.
